Job Duties:
- Assist the Executive Team in the day-to-day work and various projects, including travel arrangements.
- Follow-up on the timely execution of priority tasks and projects.
- Assist in the planning and organization of company events.
-Organize meetings for the Managing Director and prepare the minutes.
-Record keeping of all legal documents of the entities, staff labor contract, vendor contracts, company trade licenses, insurance authority licenses and insurance agreements.
-Updating and uploading all staff information on the insurance authority portal.
-Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are intact, supply requisitions are reviewed and approved, and that clerical functions are properly managed.
-Manage relationships with vendors, office subscription, memberships, service providers, and landlord, ensuring that all items are invoiced and paid on time.
-Manage contract and price negotiations with office vendors, staff parking vendors, service providers, and office lease.
-Manage all Office maintenance related tasks (ACs, Electrical, Plumbing, Plants, Pest, Sanitation, Furniture).
-Manage all correspondence of Managing Director’s Apartment which includes maintenance, coordination with land department, Municipality and Emaar.
-Ensure security, integrity, and confidentiality of data.
